Summary/Background:  Section 12-6-3(A) NMSA 1978 mandates that the financial affairs of every agency be thoroughly examined and audited each year by the State Auditor, personnel of his office designated by him, or by independent auditors approved by him and the audits be conducted in accordance with generally accepted auditing standards and rules issued by the State Auditor.  Section 2.2.2.10.M(4) NMAC, the agency (Town of Taos) and the IPA shall arrange for the IPA to present the report to the governing authority of the agency, at a meeting held in accordance with the Open Meetings Act, if applicable.  This year once again due to COVID uncertainty and the staff's knowledge and experience, the firm of Cordova CPAs LLC conducted phase I interim fieldwork in August and September, all remotely and by transmission of the electronic documents.  The firm came on-site during the week of October 5-8, 2021 to complete their audit work.  The report was submitted to the State Auditor's Office on December 15, 2021 deadline and in accordance with State Statue.  We have completed our 2020-2021 audit with an Unmodified Opinion on the Financial Statements and Unmodified Opinion on the Federal Single Audit.  The Independent Auditors' Report and summary of findings can be found on pages 132-139, which are noted on the Financial Statements.

Summary/Background: The mid-year budget adjustment process allows departments to review their expenditures from the first six months of the fiscal year in order to plan their budget needs for the remainder of the fiscal year taking into consideration any changes in priorities, revenues, unexpected projects, etc.  The summary includes these changes under each fund identified on the resolution.

D. Discussion, consideration and possible approval of a 48-month master lease agreement with Xerox Corporation for copier/printer/scanners for the Town of Taos. Pricing is in accordance with the State of New Mexico Master Lease Agreement SPD#00-00000-19-00019AI with Southwest Office Solutions Inc. as the authorized provider for Xerox. The total monthly amount exclusive of applicable taxes and minor adjustments is $2,589.40. Approval is contingent upon final legal review.

Summary/Background:  The current  60 month master lease with Xerox was approved in April 2017 and expires with a majority of the machines now in May of 2022.  The master lease agreement is on a base amount for each machine with cost per copy for both black and white and color copies.  This lease includes parts, service and all consumable supplies excluding paper.  The recommendation of the 48 month lease versus the 60 month is based on several meetings with departments involved, IT and Finance, the expressed quality of the Xerox machines, service response and price.
